We collect only the information necessary to deliver and support our Services, including:
Personal Info- Name, Email (required)
Optional Info- Age, Occupation, Phone
Usage Data- Login activity, content module completion
User-Generated Inputs- Vision values, purpose statements, session reflections
We do not collect or store:
Financial account numbers
Legal documents
Health or clinical records
Government IDs (e.g., SSNs)
3. How We Use Your Data
Your information is used to:
Personalize your experience on the platform
Match you with coaches or tools based on your goals
Track your engagement and progress
Facilitate billing and session scheduling (if applicable)
Deliver secure communications and platform updates
We do not use your data for advertising, cross-platform profiling, or third-party marketing.
4. Sharing with Sponsors
If your access is sponsored by an advisor, firm, or employer:
We may share anonymized or aggregated usage summaries (e.g., logins, module completion).
Sponsors do not have access to your personal inputs, notes, or session recordings unless you explicitly authorize it.
If sponsorship ends, you may opt to continue as an individual member at a discounted rate.
5. Third-Party Service Providers
We use trusted vendors to help deliver and improve the platform:
Stripe- Secure payment processing (Stripe Privacy)
Google- Login authentication, calendar sync (Google Privacy)
Daily.co- Video coaching sessions (Daily.co Privacy)
OpenAI- In-app summaries, no PII shared (OpenAI API Use)
Use of these providers is governed by their respective privacy policies. We do not store full payment information on our servers.
6. Security Measures
We apply rigorous security standards, including:
End-to-end encryption for data in transit and at rest
Secure AWS-hosted infrastructure
Two-factor authentication for internal staff access
Confidentiality training and NDAs for all team members
Despite safeguards, no internet transmission is 100% secure. By using our Services, you accept this risk and agree to take reasonable precautions (e.g., keeping login credentials private).
7. Your Rights and Choices
You may:
View and update your personal data through your account
Request account deletion or data removal by emailing hello@totalfamily.io
We will process verified deletion requests within a reasonable time frame and ensure data is securely removed from active systems.
If you choose not to renew your access, you may request an export of your platform-generated content (e.g., Vision summaries, family priorities) in a structured CSV format by emailing hello@totalfamily.io.
8. Cookies and Tracking
Our platform uses only essential cookies for session authentication and basic functionality.
We do not use tracking cookies, advertising pixels, or analytics tools that profile behavior.
9. Data for Users Under 18
Our Services are intended for users age 18 and older.
We do not knowingly collect information from minors. If we learn that a user is under 18, we will deactivate the account and delete all associated data.
10. Compliance & Jurisdiction
We currently provide Services to users in the United States only.
We comply with applicable privacy laws, including:
CCPA/CPRA (California residents): We do not sell or share personal data. You may request access, correction, or deletion at any time.
We do not currently offer GDPR-specific data handling for users in the EU or other international jurisdictions.
We are not a HIPAA- or GLBA-covered entity. Our platform is not a substitute for legal, financial, or therapeutic tools.

We may revise this policy occasionally to reflect improvements or compliance requirements. Significant changes will be communicated through the platform. Continued use of the Services after updates constitutes acceptance.
